TITLE: Customer Service Clerk

 

ORGANIZATION UNIT: Customer Services Division APPLICABLE TO: Customer Services Division DUTIES:

 

Under immediate supervision, to do routine clerical work in accordance with standard practices and procedures of the Company. To do routine typing and photocopying; to make routine revisions or corrections to letters, reports, specifications, etc. on typewriters or word processing equipment; and to do related work as assigned. To do routine clerical work associated with customer service, credit and collection procedures and standard practices of the Company; and to do related work as assigned. In this connection to perform details of work, such as:

 

Maintain, sort, and file customer account records and information such as orders, delinquent account notices, final bill notices, collection notices, liens and related forms, braille billing information, microfiche, and other related customer service records and information.

 

Enter or obtain routine customer service data via PC or mainframe terminals.

 

Sort and distribute mail and various reports.

 

Copy documents on photocopying equipment, and sort and deliver the photocopied materials.

 

Send and receive facsimile documents and distribute these documents.

 

Assist other function employees on various routine clerical matters as assigned.

 

Type various forms, cards, vouchers, notices, bills, statements, lists, records, reports, memoranda or letters; check and proofread typed material for accuracy and completeness.

Customer Service Clerk

 

 

List items and make routine tabulations or figure extensions.

 

Refer to specific books, manuals, catalogs, newspapers or other sources in order to obtain desired information on specific subjects [i.e., obtain telephone numbers from telephone books for survey activities (Report #713)].

 

Prepare, sort, index and/or file correspondence, memorandums, reports, forms, orders, cards or folders.

 

Make, receive and relay telephone or personal inquiries. Maintain office stationary supplies. SPECIAL RESPONSIBILITIES:

 

For holding as confidential information obtained from customers or from company records.

 

For care in performing customer service activities promptly and accurate in order to facilitate a high level of customer satisfaction.

 

For care in use of word processing, typewriter, facsimile, and other office equipment.

 

CONTACTS:

 

Other company employees or outside contacts regarding routine clerical matters.

 

QUALIFICATIONS:

 

Graduation from high school or the equivalent.

 

Must pass standard data entry test and a Customer Service Aptitude Test.
